Simple FTP - Instructions for Windows and Mac

Your website hosting includes FTP access. FTP stands for File Transfer Protocol, and is a means for uploading and downloading files to and from your website. FTP is useful if you need to share files with employees or customers – you can simply upload the file to your website and provide the recipient with the address, and they can download it directly from their browser. For instance, suppose you have a file named BusinessProposal.ppt, a PowerPoint presentation which you need to get to your prospective clients – however it is too large to e-mail. You could simply upload it to your website using FTP, and give your prospective client the web address http://www.YourCompany.com/files/BusinessProposal.ppt and they would be able to download your proposal from any computer at their own leisure. Problem solved.

There are a number of FTP programs available, which are special applications designed for FTP, or you can simply use the built-in capabilities of Windows or Mac OSX. If you prefer to use an FTP program, we recommend FTP Voyager for Windows (http://www.ftpvoyager.com/) and Fetch for Mac (http://www.fetchsoftworks.com/). You can use any FTP program you are comfortable with, however. Use your program’s documentation to log into your FTP site using the information we provide separately.

If you do not think you will be using FTP very often, we recommend simply using the built-in FTP capabilities of Windows or Mac. Use the quick descriptions below to access your FTP location.
NOTE: DO NOT give your FTP user name and password to anyone you do not trust. Giving people this information gives them access to your website!

Windows

Move your mouse over the Start button and RIGHT-click the mouse instead of clicking the left button. In the little pop-up window, click on Explore.

This will open up the File Explorer. Resize this window so that it covers about half of your screen from left to right.

Go back to the start menu, RIGHT-click, and click Explore to open a second File Explorer window. Resize this second window so that it occupies the second half of your screen and the two File Explorer windows are sitting side by side.

NOTE: You do not have to open two windows for this to work; we simply find it easier to do it this way. Use your own judgment and experience to choose the method that is right for you.

In the address bar of the left-hand window, type in the location of your ftp site and hit the Enter key.

A dialog box will pop up asking for your user name and password. Enter the user name and password we have provided.

Now comes the easy part – simply select the files you want to upload using the right-hand File Explorer window, and drag those files over to the left-hand File Explorer window and drop the files in the window.

After dropping the files in the left-hand window, you should see a progress bar (depending on how large the files are). If you have a fast connection such as DSL or cable, you can drag large numbers of files over at one time, and Windows will take care of uploading the files.

You’re done. You should now be able to see the files you uploaded in the left-hand File Explorer window.

Downloading files is simply the reverse of uploading: Drag files from the left-hand window over to the right-hand window.

Mac OX-X

From the Finder menu, click Go, and then click “Connect to Server…”.

In the resulting dialog box, type in the FTP address we provided.

Next, type in the user name and password we provided you previously.

Once connected, a Finder window will open showing the contents of your FTP site.

Finally, simply open a second Finder window and locate the files you want to upload, and just drag and drop them into the FTP finder window. You’re done!

E-mail Setup Instructions – Microsoft Vista Mail

E-mail Setup Instructions – Microsoft Windows Mail (formerly Outlook Express)

The following notes are for Microsoft Windows Mail, although they are extremely similar to the steps needed with earlier versions of Outlook Express as well as Outlook. Software such as Thunderbird or Mac Mail may use slightly different interfaces, but the steps are also very similar.

From the Tools menu, select Accounts to open the Internet Accounts dialog box.

Click the “Add” button to open the Add New E-mail Account dialog box.

In the first panel, simply choose the “E-mail Account” option, and then press the Next button for the next panel.

In the “Your Name” panel, simply enter your name as you wish it to appear on e-mails, such as “John Smith” or “XYZ Corporation Sales”.

In the “Internet E-mail Address” panel, enter your new e-mail address.

In the “Set up e-mail servers” panel, fill in the mail server blanks using the mail server information supplied in the separate document we provided outlining your e-mail settings. Check the box at the bottom labeled “Outgoing server requires authentication”. Click the Next button to continue.

In the “Internet Mail Logon” panel, enter your full e-mail address and the password we provided. Click the Next button to continue.

You have completed the first steps towards setting up your e-mail. Click the Finish button to return to the original Internet Accounts window.

When done, you can assign your new account to be your default account if you wish. This means that whenever you initiate a new e-mail to someone, Outlook Express will use your new mail account by default. Note that this assignment only works if you have more than one mail account set up in Outlook. If this account is your first or only mail account, it will be automatically set as the default mail account.

Your mail account should be ready to go at this point, however, you can use some of the following steps to make advanced settings or to change some of the default settings that Outlook Express assigned to your new account. If you do not plan to make any advances settings, please jump to step14.

To begin with the advanced settings, highlight your new mail account (if it is not already highlighted), and click the Properties button.

On the first panel, you can change the name that Outlook Express uses to refer to your new account. The name can be anything. In the sample below, we’ve simply named the new account “Primary E-mail”. You can also fill in the Organization field using your company name. Only fill in the “Reply Address” field if you want people to respond to a different address. Unless you are an advanced user, it is best to simply leave this field blank.

In the Servers tab, you can verify the server settings you entered previously. In addition, you can verify and/or set the Outgoing Mail Server authentication by checking the box at the bottom and clicking the Settings button. This setting is important, and an improper setting will result in your not being able to send e-mail.

After clicking the Settings button above, be sure the Outgoing Mail Server information matches the settings in the sample below. When done, click the OK button to return to the previous box.

Next, click the Advanced tab. Here you can choose to leave messages on the server for a certain period. Only change these settings if you are an advanced user. You have a finite amount of storage space on the mail server, so if you get a lot of e-mail, or e-mail with large attachments, be aware that leaving messages on the server can result in “Disk Full” responses being sent to people who try to e-mail you. When done, click the OK button to return to the first screen.

Your new mail is completely finished and ready to use. Click the Close button to return to the main screen of Outlook Express.

When sending an e-mail using Outlook Express with multiple accounts, you can easily change the account you are sending from after opening the window to start a new e-mail message. Just click the button shown below to show a list of all mail accounts set up in Outlook Express, and select the one you want.
