E-mail Setup Instructions – Microsoft Vista Mail

E-mail Setup Instructions – Microsoft Windows Mail (formerly Outlook Express)

The following notes are for Microsoft Windows Mail, although they are extremely similar to the steps needed with earlier versions of Outlook Express as well as Outlook.  Software such as Thunderbird or Mac Mail may use slightly different interfaces, but the steps are also very similar.

  1. From the Tools menu, select Accounts to open the Internet Accounts dialog box.
  2. Click the “Add” button to open the Add New E-mail Account dialog box.

  6. In the “Set up e-mail servers” panel, fill in the mail server blanks using the mail server information supplied in the separate document we provided outlining your e-mail settings.  Check the box at the bottom labeled “Outgoing server requires authentication”.  Click the Next button to continue.

  7. In the “Internet Mail Logon” panel, enter your full e-mail address and the password we provided.  Click the Next button to continue.

  8. You have completed the first steps towards setting up your e-mail.  Click the Finish button to return to the original Internet Accounts window.

  9. When done, you can assign your new account to be your default account if you wish.  This means that whenever you initiate a new e-mail to someone, Outlook Express will use your new mail account by default.  Note that this assignment only works if you have more than one mail account set up in Outlook.  If this account is your first or only mail account, it will be automatically set as the default mail account.

Your mail account should be ready to go at this point, however, you can use some of the following steps to make advanced settings or to change some of the default settings that Outlook Express assigned to your new account.  If you do not plan to make any advances settings, please jump to step14.

To begin with the advanced settings, highlight your new mail account (if it is not already highlighted), and click the Properties button.

     Vista

  10. On the first panel, you can change the name that Outlook Express uses to refer to your new account.  The name can be anything.  In the sample below, we’ve simply named the new account “Primary E-mail”.  You can also fill in the Organization field using your company name.  Only fill in the “Reply Address” field if you want people to respond to a different address.  Unless you are an advanced user, it is best to simply leave this field blank.

  11. In the Servers tab, you can verify the server settings you entered previously.  In addition, you can verify and/or set the Outgoing Mail Server authentication by checking the box at the bottom and clicking the Settings button.  This setting is important, and an improper setting will result in your not being able to send e-mail.

  12. After clicking the Settings button above, be sure the Outgoing Mail Server information matches the settings in the sample below.  When done, click the OK button to return to the previous box.

  13. Next, click the Advanced tab.  Here you can choose to leave messages on the server for a certain period.  Only change these settings if you are an advanced user.  You have a finite amount of storage space on the mail server, so if you get a lot of e-mail, or e-mail with large attachments, be aware that leaving messages on the server can result in “Disk Full” responses being sent to people who try to e-mail you.  When done, click the OK button to return to the first screen.

  14. Your new mail is completely finished and ready to use.  Click the Close button to return to the main screen of Outlook Express.

  15. When sending an e-mail using Outlook Express with multiple accounts, you can easily change the account you are sending from after opening the window to start a new e-mail message.  Just click the button shown below to show a list of all mail accounts set up in Outlook Express, and select the one you want.
