E-mail Setup Instructions – Microsoft Outlook 2007
The following notes are for Microsoft Outlook 2007, although they are extremely similar to the steps needed with earlier versions of Outlook as well as Outlook Express. Software such as Thunderbird or Apple Mail may use slightly different interfaces, but the steps are also very similar.
- From the Tools menu, select Account Settings to open the Account Settings dialog box.
- Click the “New…” link to open the Add New E-mail Account dialog box.
- In the first panel, simply make sure the option which includes “POP3” account is selected, and then press the Next button for the next panel.
- In the “Auto Setup” panel, check the box at the bottom labeled “Manually configure server settings or additional server types”, and then click the Next button. (Note: In pre-2007 versions of Outlook, this step is not necessary).
- In the “Choose E-mail Service” panel, choose the item labeled “Internet E-mail”, and then click the next button.
- You should finally have arrived at the “Internet E-mail Settings” panel. In the first box, “Your Name”, simply type your name as you would like it to appear in your e-mail messages. Fill in the remaining blanks using the account information supplied in the separate document we provided outlining your e-mail settings, making sure that you enter the entire e-mail address as your user name.
When done entering your settings, click the button marked “More Settings…”.
- In the resulting dialog box, you can give your new e-mail account a name that Outlook will use to refer to it. The name can be anything, and it will not affect how Outlook works. In the example below, we’ve simply called this new account “Primary E-Mail”.

You can also fill in the Organization field using your company name. Only fill in the “Reply E-mail” field if you want people to respond to a different address. Unless you are an advanced user, it is best to simply leave this field blank.
- Next, click the “Outgoing Server” tab at the top, and make sure the item labeled “My outgoing server (SMTP) requires authentication” is checked, and that the item immediately below (“Use same settings as my incoming mail server”) is selected.
- In the Advanced tab, you can choose to leave messages on the server for a certain period. Only change these settings if you are an advanced user. You have a finite amount of storage space on the mail server, so if you get a lot of e-mail, or e-mail with large attachments, be aware that leaving messages on the server can result in “Disk Full” responses being sent to people who try to e-mail you.
- When you are done with the advanced settings, click the “OK” button to close the dialog box and return to the previous panel.
- You may now click the button marked “Test Account Settings”. Outlook will send a test message to see if all of the settings have been entered correctly. If the test fails, please check carefully for typos, or cancel the account setup and start over if you feel you may have made an error. - After a successful test, click the Next button, and then the Finish button on the following screen to complete your account setup.
- When done, you can assign your new account to be your default account if you wish. This means that whenever you initiate a new e-mail to someone, Outlook will use your new mail account by default. Note that this assignment only works if you have more than one mail account set up in Outlook. If this account is your first or only mail account, it will be automatically set as the default mail account.
- When sending an e-mail using Outlook with multiple accounts, you can easily change the account you are sending from after opening the window to start a new e-mail message. Just click the button shown below to show a list of all mail accounts set up in Outlook, and select the one you want.
